Information we collect
Browsing the catalogue is available without an account. Depending on the features you use, we collect:
- Your name or organisation name, email address, international phone number, address and any location coordinates you confirm.
- Account authentication records, email verification status, saved products, cart quantities, saved addresses, orders, payment status and quotation requests, including contact details and requirements you submit.
- Organisation details and proof documents you upload when applying for trader or distributor access, together with application status and review information.
- Technical information used to operate and protect the service, including request timestamps, IP addresses, browser information and security logs.
Account passwords are stored as password hashes. Proof documents are encrypted in the website’s private storage.
Google sign-in
If you choose Continue with Google, we request the basic identity scopes openid, email and profile. Google supplies identity information such as your name, email address, unique account identifier and email verification information. We use this to create, authenticate or explicitly link your store account.
The stored Google account identifier connects your Google identity to your store account. Your name, email and verified-email status can form part of the completed profile shared with our ERP. Existing accounts require authentication before Google linking.
Ledworld Store’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.
You can manage the store’s Google access in your Google Account settings. Removing that access does not itself delete records you have submitted to the store; contact us to request deletion.
How we use information
We use information to manage accounts, verify email ownership, deliver verification and recovery messages, save your selections, process orders and delivery details, respond to quotation requests, review trader applications and maintain the security and operation of the catalogue. Completed, verified profiles are synchronized with our ERP for account administration and trader review. Passwords and password hashes are not included in that ERP synchronization.
AI-assisted product discovery
When enabled, descriptive searches and product questions are processed by OpenAI together with relevant catalogue specifications, your applicable product prices and published availability. We do not send your account password, trader proof documents, payment credentials or internal staff notes.
Live voice starts only after you tap the microphone and grant browser permission. Audio is streamed through our server to OpenAI for speech-to-speech responses and is not saved by the store. The voice is AI-generated. The assistant remains available until you close it, leave the page or the session ends. Pause or close it at any time; closing stops microphone access. A separate one-request recording option may remain in the text assistant.
AI search state and answers are kept in page memory. We retain usage counts, token counts and estimated costs without storing prompts, answers or recordings in the usage ledger. Provider security and abuse-monitoring retention can still apply. AI answers may be incomplete; product specifications and the confirmed order remain authoritative.
Website analytics
We measure how the store is used with our own first-party analytics, so we can improve product listings, search and checkout. We record the pages and products viewed, search terms, listing filters applied and the number of results, cart and wishlist changes, and checkout, quotation and registration steps. We also record a coarse device type, browser and operating system, the referring website and any campaign tags in the link you followed.
No analytics cookie is set and nothing is shared with advertising or third-party analytics providers. Your IP address and browser details are combined with a random value that changes every day to produce a visitor code; the IP address itself is not stored, and visits cannot be linked across days. A random session code is kept in your browser’s session storage and expires after 30 minutes of inactivity. AI prompts and uploaded photos are not recorded by analytics. Detailed analytics events are deleted after 90 days; only aggregated daily totals are kept. Analytics is not recorded when your browser sends a Do Not Track or Global Privacy Control signal.
Cookies and browser storage
The store uses cookies for account sessions, sign-in security and administrator access. Browser storage preserves guest carts, wishlists, website installation preferences and the temporary analytics session code described above. Signed-in carts and wishlists are also saved to your account for use across devices. Clearing browser storage removes local selections; account records remain on the server.
Retention and your requests
We retain records used to provide account services, handle quotations, review trader applications and maintain business and security records. Retention can differ between active records, ERP records and backups.
Contact support@ledworld.com to request access, correction, account closure or deletion. We may need to verify your identity. If records must be retained for applicable legal or business recordkeeping requirements, we will explain the relevant limitation when handling your request.
